Alliance Pro subscribers can now provide their customers with a feature to let them audit and approve invoice data online via the built-in 'Track and Trace' module.

This feature can improve billing accuracy and reduce customer billing discrepancies by providing your customers with a tool to approve invoice charges.

How it works:

  • Allowing the customer to "audit invoices" via track and trace. There is a new flag in the customer profile in the "Track and Trace" control section called "Allow Invoice Audit". If this is set to YES, the customer will be given some audit capability in the "Track and Trace" screens.
  • Customer "Audit Invoice" options. In the "Track and Trace" screens, the customer can view completed trips. If they are the BILL TO on the order AND they have the "audit invoices" flag set in their customer profile, they system will display the "Customer audit status" on the list of orders. They can "Drill Down" into the details of the order to view the invoice and set the audit status. If the customer changes the "Audit Status" on an invoice, all your billing authorized users will receive an e-mail stating which customer has modified the audit status of which invoice.
  • Billing can view customer "Audit Status". In the billing screen, if a customer has the "Audit Invoice" flag set on, the customer "audit invoice" status will be displayed immediately below the billing status. Furthermore, the billing notes will show all the times the customer has changed the "Audit Status".
